This Privacy Policy explains how we collect, use and protect information you provide when contacting The Coping Corner, including through our website, email, telephone, Facebook or Instagram enquiry forms.

1. Who we are

The Coping Corner is a therapy centre based in Drogheda, Co. Louth.

The Centre provides therapy rooms to independent practitioners and may help people making an enquiry connect with a practitioner who may be suitable for the support they are looking for.

2. Information we may collect

When you make an enquiry, we may collect information such as:

  • Your name

  • Email address

  • Telephone number

  • Your preferred method of contact

  • Your general availability

  • Whether you are looking for in-person or online therapy

  • A brief description of the type of support you are looking for

  • Any other information you choose to provide

We ask that you do not provide detailed medical, clinical or highly sensitive personal information through an online enquiry form.

You are welcome to give us a brief outline of what you are looking for support with so that we can help identify an appropriate practitioner.

3. How we use your information

Information submitted as part of an enquiry may be used to:

  • Respond to your enquiry

  • Contact you about therapy options

  • Understand the general type of support you are looking for

  • Identify a practitioner who may be an appropriate fit

  • Pass your enquiry to an appropriate practitioner where necessary and appropriate

  • Arrange an introductory call or appointment

  • Manage and follow up on your enquiry

We will only use your personal information for the purpose for which it was collected or where we have another lawful basis for doing so.

Where information you voluntarily provide includes health information or other special category personal data, it will only be processed where permitted under applicable data protection law and, where required, with your explicit consent.

4. Facebook and Instagram enquiry forms

If you submit an enquiry through a Facebook or Instagram form, the information you enter is initially submitted through Meta's platform and then made available to The Coping Corner.

Meta may separately process information about your use of Facebook or Instagram in accordance with its own privacy policies.

The Coping Corner will use the information received through the form only for purposes connected with responding to and managing your enquiry, unless you have separately agreed to another use.

5. Sharing your information with practitioners

Therapists and other practitioners working from The Coping Corner operate as independent practitioners.

Where appropriate, we may share the information necessary to connect you with a practitioner who appears suitable for your enquiry.

We will not routinely provide a practitioner with unnecessary information or detailed sensitive information submitted to the Centre.

Once you choose to engage with an independent practitioner, that practitioner is responsible for how they collect, use and maintain information relating to your therapeutic relationship and will have their own data protection and record-keeping responsibilities.

6. Lawful basis for processing

Depending on the circumstances, we may process your personal information because:

  • You have asked us to take steps in response to your enquiry;

  • You have given us your consent;

  • Processing is necessary for our legitimate interests in responding to and administering genuine enquiries; or

  • We are required to do so by law.

Where consent is the basis for processing, you may withdraw your consent at any time.

7. How long we keep enquiry information

We will keep personal information only for as long as reasonably necessary for the purpose for which it was collected.

Enquiries that do not result in an ongoing relationship with the Centre or one of its practitioners will be periodically reviewed and securely deleted when they are no longer required.

Information required for legal, accounting or regulatory reasons may need to be retained for a longer period.

8. How we protect your information

We take reasonable organisational and technical measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.

However, email, social media and online forms should not be used to send urgent, highly confidential or detailed clinical information.

9. Your data protection rights

Under data protection law, you may have the right to:

  • Request access to personal information we hold about you

  • Ask us to correct inaccurate information

  • Ask us to delete your information in certain circumstances

  • Request restriction of processing

  • Object to certain processing

  • Request transfer of your information where applicable

  • Withdraw your consent where processing is based on consent

You can contact The Coping Corner if you would like to exercise any of these rights.

You also have the right to raise a concern or make a complaint to the Data Protection Commission (Ireland).

10. Therapy enquiries are not an emergency service

Submitting an online enquiry does not create a therapist–client relationship and does not guarantee an appointment with a particular practitioner.

The Coping Corner enquiry service is not monitored as an emergency or crisis service.

If you or someone else is in immediate danger or requires urgent medical or mental health assistance, please contact the appropriate emergency or crisis service.

11. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our services, systems or legal obligations.

The latest version will be made available through The Coping Corner website.
